This policy explains how the organizers of HACKfor2MORROW: Brand New Day collect, use, store and protect the personal information that teams submit through this website. It follows the Data Privacy Act of 2012 (Republic Act No. 10173), its implementing rules, and guidelines from the National Privacy Commission (NPC) and the Department of Information and Communications Technology (DICT).
Who we are
The hackathon is organized by Batangas State University, The National Engineering University, together with ParallaxED and TRIOE (“the organizers”). The organizers decide how registration data is used and are responsible for protecting it.
What we collect
- Team details you enter on this website: team name, school or institution, team leader’s name, project title, faculty mentor’s name, email address and contact number.
- Your completed team registration form, which includes the names, grade or year level, STEM strand and signatures of the student participants; the faculty mentor’s details; the school or agency head’s name, designation and official email; and your project information.
- Scanned school or office IDs of all student participants and the faculty mentor.
- The date and time you submitted, and a record of your consent to this policy.
Only include what the registration form asks for. Leave other personal details out of your files.
Why we use it
- To confirm your team is eligible: three senior high STEM students and one faculty mentor, with each student on only one team.
- To evaluate proposals and select the Top 10 teams.
- To coordinate with teams on announcements, kit orientation, BOM declaration, hardware check-in and event logistics.
- To document the hackathon, including participant records, results and certificates.
- To communicate with mentors and schools about the hackathon.
We use your information only for these purposes. We don’t sell it or use it for marketing unrelated to the hackathon.
Our basis for processing
We process your information with the consent your team gives on the registration form and on this website, and as needed to run the hackathon you applied to.
Who can see it
Only authorized members of the organizing team and the evaluation panel can see your registration, and only as their role in the hackathon requires. Our website host, Vercel, stores the files on our behalf under its data processing terms. We also keep a copy of each registration in a Google Drive folder managed by the organizers, so Google acts as a service provider for that copy. Their servers may be outside the Philippines. We don’t share your information with anyone else unless the law requires it.
How we protect it
Files are uploaded over an encrypted connection to private storage that the public cannot reach. Only organizers who sign in with the organizer password, or who have been given access to the Google Drive folder, can view or download registrations. We share the folder only with organizers who need it, and everyone with access must keep the information confidential.
To keep automated spam out of the registration form, we use Cloudflare Turnstile. When you submit, it checks technical signals from your browser and device, such as your IP address, to confirm a person is registering. Cloudflare processes this only to provide the check and doesn’t receive your team details or files.
How long we keep it
We keep registration data only as long as we need it for the purposes above: through evaluation, the hackathon and its documentation. After that, we delete it, including the Google Drive copy, or remove anything that identifies you.
Participants under 18
Most participants are senior high students, and some may be under 18. Every team applies with a faculty mentor, and the registration form requires an endorsement signed by the school or agency head.
Your rights
Under the Data Privacy Act, you have the right to:
- be informed about how your personal information is processed;
- access your personal information and get a copy of it;
- correct information that is inaccurate or incomplete;
- object to processing, or withdraw your consent;
- have your information blocked or erased;
- get your information in a portable format;
- claim damages for harm caused by inaccurate or unlawfully processed information; and
- file a complaint with the National Privacy Commission.
If you withdraw consent or ask us to erase your information before selection ends, we can no longer consider your team’s registration.
Cookies and browser storage
This website doesn’t use tracking or advertising cookies. It remembers that you’ve watched the intro video for the current browser tab only. The organizer page sets one sign-in cookie, used only by organizers.
